Rewriting an IEP accommodation that staff cannot follow
This letter names one accommodation, quotes the line as the IEP words it, and asks for wording staff can act on. You are not asking for a new service here, only for the support already on the page to be usable. You can send it today: paste it into an email, replace what sits in brackets, and write down the day the school received it; the table below says which day starts each clock.
What the rule says
“Each teacher and provider … is informed of … His or her specific responsibilities related to implementing the child’s IEP; and … The specific accommodations, modifications, and supports that must be provided for the child in accordance with the IEP.”
34 CFR 300.323(d)(2)
The wording you settle on is the wording every teacher is handed, so vagueness travels.
When to send it
- Two teachers describe the same accommodation differently and each one thinks the other is wrong.
- Extended time is written as needed, so it arrives on some tests and never on others.
- A substitute ran the room through half of October and nobody handed over the accommodation page.
What happens after you send it
| What is being counted | By when | How it is counted |
|---|---|---|
| The reworded line | Set by your state | Nothing federal counts the days here, which leaves the wait to your state.34 CFR 300.324(b)(1) |
| The file you request | 45 days | That outer limit shrinks when an IEP meeting is already on the calendar.34 CFR 300.613(a) |
What the letter has to contain
The accommodation, word for word
Paraphrasing the accommodation lets the team argue about what it meant instead of what it says.
Every teacher is told the accommodations the IEP assigns to the child. 34 CFR 300.323(d)(2)
When it happens, exactly
As needed hands the decision to whoever is tired that afternoon, and the support quietly stops.
The IEP states the program modifications and supports school staff provide. 34 CFR 300.320(a)(4)
Your draft of the fix
A complaint gives the team nothing to vote on. Draft wording gives them something to accept or edit.
A support that is failing to produce progress is a reason to revise the IEP. 34 CFR 300.324(b)(1)(ii)
A date the change lands
A yes with no start date leaves the old page in every binder until somebody notices.
A revised IEP is accessible to each provider responsible for carrying it out. 34 CFR 300.323(d)(1)
The letter
Replace everything in brackets. The rest sends as it stands.

- Wording of one accommodation on [Child’s first name]’s plan
Dear [Case manager], One accommodation in [Child’s first name]’s IEP is reaching [him/her/them] differently from one room to the next, and I am writing to ask that it be reworded. The line as it stands, from page [page number]: [copy the accommodation exactly]. What I have seen since [date]: • [Class or test] — [what was provided, or what was skipped] • [Class or test] — [what a different teacher did instead] Here is wording I would offer in its place: [your draft — name the setting, the trigger, the adult responsible, and what your child gets]. Please tell me whether the team can meet, or whether this is small enough for the two of us to document without one, and include a copy of the accommodations page as each teacher received it. If the district would rather leave the line alone, please set the reasoning out under 34 CFR 300.503 as prior written notice. Warm regards, [Your name] [Best number] · [Email] [Date sent]
If no answer comes back
Watch the calendar your state gives a district to answer, counting from the delivery date.
- Print the accommodations page and take it to the principal in person.
- Ask each teacher in writing what they were told this accommodation means.
- Copy the district’s compliance office, which keeps its own log of these.
A no owes you prior written notice: the decision, the reason for it, and the records behind it (34 CFR 300.503).
This is a template, not legal advice: it does not replace your state’s procedures, or advice from someone qualified to read your file.
